What do business automation services do?
Business automation takes the work between your systems off your team: retyping, checking one record against another, chasing what is late and building the same document again. The software you pay for stays; the steps between it stop depending on someone remembering.
Business process automation (BPA) in Dubai applies that to a whole process, from the event that starts it to the result, instead of a single task. AI widens what can be automated, because agents read emails, PDFs and WhatsApp threads that never look the same twice. Software that plans its own steps is what we call autonomous AI agents; this page is about the processes they run inside.
Reads what arrives
Emails, PDFs, scans, exports and WhatsApp threads.
Checks your records
Job files, price lists, the supplier register, the CRM.
Prepares the output
A draft bill, a reminder, a quotation, a checklist or a report.
Chases what is late
Due dates, missing documents and stalled steps, on rules you set. Reminders wait for approval unless you pre-authorise them.
Which business processes can be automated with AI?
The ones that repeat every week, involve reading or writing, and have an answer someone can check. Here are six common ones, each written as a connected workflow.
| Process | Starts when | Ends with | A person decides |
|---|---|---|---|
| Enquiry to proposal | An enquiry arrives by form, email or WhatsApp | A draft quotation at approved prices, payment terms checked | Every quotation, and any price off the list |
| Overdue invoice to reminder | An invoice passes your due-date rule | A reminder drafted in the customer's language | Whether it goes, and any open dispute |
| New hire to first week | A start date is confirmed | Onboarding checklist, welcome pack and task list | What the new joiner receives |
| Supplier quotes to purchase request | Quotes arrive from suppliers | A side-by-side comparison and a drafted request | Which supplier wins |
| Month-end checklist | A date you set | The checklist, with chasers for anything missing | Sign-off, by your accountant |
| Lost deal to better bid | A deal is marked lost | Reasons from the notes and an outline for the next bid | Price and delivery promises |
When a process starts with a customer's question, the front end is an AI chatbot. Work no package covers is custom AI development. Our AI automation agency page compares every service.

What should you automate first, and what should you leave alone?
Count the hours each candidate takes in a normal week, then start with one that is frequent, owned by one person and expensive when it slips. If you cannot yet say which process that is, AI consulting starts from this same list. Some work should stay with people however good the software gets.
Automate first
- A process that runs every week and has one owner
- Work that costs money when late: unanswered enquiries, overdue invoices, slow quotations
- Steps where someone copies data from one system into another
- Documents that arrive in a predictable shape, such as invoices and delivery notes
- Reminders, summaries and reports nobody has time to write
Leave with people
- Anything that happens a few times a year: the set-up will not pay back
- A process your team runs three different ways. Agree one way first
- Hiring decisions. CV screening only ranks; a recruiter decides
- Portals that need a person's UAE Pass. That person signs in, checks and submits; agents never hold UAE Pass credentials
- Tax and legal judgement. Agents prepare reminders and working papers, not advice
- Cold calls. Outbound sales calls stay with your staff, under Cabinet Resolution 56 of 2024
One process, mapped in full
Example: carrier invoice to approved bill, at a Dubai freight forwarder
Every connected workflow is agreed in writing before work starts: its five parts, its inputs and the tests it must pass. This forwarder receives about 60 carrier invoices a week, and one accounts assistant checks each against the job file by hand.
Trigger
A carrier invoice lands in the accounts mailbox, as a PDF or a scan.
Agents
Finance reads and checks it, procurement compares it with the agreed rate, and the Conductor, the agent that coordinates the others, routes anything odd.
Information
The job file, the rate agreed for that job, proof of delivery and the supplier register.
Output
A draft bill in your accounting system, linked to the job, or a held invoice with its reason.
Approval point
The finance manager, for anything off the agreed rate or above AED 10,000.
You approve
The inputs
Four sources, each checked for access and usable data before you book. If one cannot be connected, you hear it before you pay.
| Input | Comes from | In this example |
|---|---|---|
| Carrier invoices | Shared accounts mailbox | About 60 a week from 14 carriers, PDF or scan |
| Job files | Nightly export from the freight system | Route, agreed rate and proof of delivery, matched on job number |
| Supplier register | Accounting software | TRN and bank details for the 14 approved carriers |
| Approval rules | Agreed at scoping | Within AED 100 of the agreed rate passes; above AED 10,000 needs the finance manager |
The acceptance tests
Written at scoping and run on last month's real invoices. Every test must pass before you accept the workflow, and together they cover accuracy, security, failure handling, response time and operating cost.
This is one of the three workflows in AI Business Operations. AI Business Elite adds a collections engine that escalates by rule and logs every promise to pay.
| Test case | Passes when | Checks |
|---|---|---|
| Invoice matches job and rate | Draft bill created; amount, VAT and job number equal the PDF | Accuracy |
| AED 500 over the agreed rate | Held, difference shown, nothing posted | Accuracy |
| Same invoice sent twice | Second copy blocked and reported | Accuracy |
| Bank details differ from the register | Stopped and shown only to the finance manager | Security |
| Invoice above AED 10,000 | Only the finance manager can approve it | Security |
| Unreadable scan | Flagged; nothing entered from a guess | Failure handling |
| Nightly export missing | Run stops and says so; no half-finished batch | Failure handling |
| A full week's 60 invoices at once | All checked within one hour | Response time |
| A month's invoices, replayed | Model usage stays inside the written estimate | Operating cost |
Start with your own numbers
Send two exports. Within 48 hours you get a 07:00 briefing built from them, and you see where your records are clean enough to automate. Free, and we delete the exports within 30 days unless you go ahead.
Is RPA better than AI?
Neither is better; they do different jobs. Robotic process automation (RPA) repeats fixed clicks and keystrokes on a screen or form, and it is dependable until that screen changes. AI reads messages and documents that vary, drafts and flags exceptions, and it can be wrong, which is why approvals and tests sit around it.
Most processes use both: fixed rules in code for the checks, AI for the reading. If your work is thousands of identical entries into one stable system, a plain RPA tool may cost less than anything we build, and we will tell you so.
| Compare | RPA | AI workflow automation |
|---|---|---|
| Best at | Identical entries, at volume | Varied messages and documents |
| Typical input | Fixed forms and screens | Emails, PDFs, scans, WhatsApp threads |
| Something unusual arrives | Usually stops with an error | Flags it with a reason, or gets it wrong if untested |
| Main risk | Breaks when a screen or field changes | Confident mistakes, so a person approves what leaves |
| Choose it when | The steps never change | Someone has to read before they act |
How much does AI automation cost for a small business in the UAE?
Published UAE offers put several connected workflows at about AED 6,000 to 17,500 and a broad custom system at about AED 15,000 to 40,000, and most local offers add AED 1,000 to 3,000 a month. So ask every supplier the question that matters: what is the total for 12 months, at a stated usage level?
| What you buy | Published price | Over 12 months | Check |
|---|---|---|---|
| One tailored workflow | About AED 7,500, plus about AED 1,250 a month | About AED 22,500 | What the monthly fee covers, and what stops if you stop paying |
| Several connected workflows | About AED 6,000 to 17,500 | About AED 18,000 to 53,500 with a typical monthly fee | Which systems, and the cost of each later change |
| A broad custom system | About AED 15,000 to 40,000 | About AED 27,000 to 76,000 with a typical monthly fee | Who owns the code, the accounts and the documentation |
| BeOnTop AI Business Operations | AED 12,500 plus VAT (AED 13,125 including VAT), paid once | Under AED 24,600 for five users, running costs included | Three workflows, no monthly fee to us |
Offers as published in the UAE in November 2026, before VAT. "Typical monthly fee" means the AED 1,000 to 3,000 most local offers add, so ask whether it covers model and hosting costs. Our figure includes VAT on the build and your own running costs.

First-hand
What went wrong elsewhere, and what this workflow does instead
AI agents run every day in the operations of London International, our training partner. What went wrong there changed how we build every workflow.
No evidence, no record
An image once failed to reach an agent, and it invented a lead's details from the caption. Nobody noticed for days. Agents now read back what they extracted, wait for confirmation, then create the record with the evidence attached. That is why the unreadable scan above is flagged, with nothing entered from a guess.
One price list, in one place
A wrong floor price once sat in the settings of two agents and cost money on each sale until an audit found it. So here, rate cards, limits and approved answers are set up to live in one source that every workflow reads.
Your contract checklist
Six things to get in writing from any automation supplier
Settle these before you sign; our answer sits under each.
Tests agreed first
Accuracy, response time, operating cost, security and failure handling. Ours are written at scoping and run on your examples.
A 12-month total
Set-up, subscriptions, message charges, support, overage and VAT, at a stated usage level. Ours is above.
Fixes versus new work
Defects get fixed; new processes get quoted. Ours: 30 days of defect support and two revisions, then optional care.
Who owns what
Accounts, data, configuration and client-specific work are yours. BeOnTop's reusable playbooks stay licensed to you for as long as you use the system.
If a connection fails
Each is validated before booking. If one cannot be made after booking, we fix it at our cost or refund that part.
Who can still get in
At handover we revoke our access to your systems, unless you take care, and record it in the audit trail.
Questions about business automation
What is business process automation?
Business process automation automates a whole process, from the event that starts it to the result, such as an invoice arriving, being checked, approved and posted, rather than one step inside it. Software does the reading, matching and routing, and people keep the decisions you mark as theirs.
What is the difference between AI automation and workflow automation?
Workflow automation moves a task along fixed rules: when an order arrives, create the job and tell the team. AI automation adds reading and drafting, so it can handle emails, PDFs and WhatsApp threads that follow no fixed form. People still approve what matters.
Is AI automation worth it for a small business?
Cost one process for a year before you cost the automation: staff hours, late payments and mistakes. Set that beside your first-year total at a stated usage level. A process that runs a few times a year will not pay back.
Which business task is most suitable for AI automation?
One that repeats every week, involves reading or writing, has an answer a person can check in a minute, and costs money when it is late. Chasing overdue invoices and turning enquiries into quotations are typical first picks.
Will automation replace our employees?
It replaces retyping, chasing and matching, not the people who know your customers. Staff keep the approvals and the exceptions, and the time they get back is yours to use. Decide where that time goes before the first workflow goes live.
Can the agents send or pay anything without us?
Not by default. Spending, sending, publishing and any CRM change beyond logging a new enquiry wait for approval, and nothing is paid without a person's yes. Once a step other than a payment has passed its tests, you can pre-authorise it within limits you set, at no extra fee.
What happens when an automation makes a mistake?
It should stop and say why rather than carry on. Each workflow has an approval point, unusual items go to a named person with the reason attached, and every step sits in the audit trail, so a mistake can be traced and the rule corrected. Faults in accepted work are ours to fix during the 30 days of defect support.
How do we measure success?
Note how long the process takes today, before anything changes. At acceptance the agreed tests must pass on your own examples, and after go-live the audit trail shows what ran and what needed a person. Compare hours, errors and late items month by month.
Do we have to replace our CRM or accounting software?
No. We connect to the systems you run. Live connections typically include HubSpot, Zoho, Xero, QuickBooks, Google Workspace and WhatsApp Business, each validated before booking, and anything else runs from a scheduled export. Complex ERP work is quoted separately.
How long does it take to automate a process?
A scoping call on day 1, a written proposal by day 3 and booking on day 5. The target is then 20 working days from the day we have access and usable data. Outside approvals, such as WhatsApp templates, can add time.
What tools do you use for workflow automation services?
Your own systems, joined by connectors or scheduled exports, with Claude or another agreed model doing the reading and drafting. Every third-party licence is listed in the proposal. If a simple connector tool would do the job alone, we will say so.
Does it work with Arabic messages and documents?
Yes, where the package lists it. Your team can work in Arabic or English, and scope is English first. Arabic versions of the guides and training materials are AED 1,500 plus VAT (AED 1,575 including VAT).
Is automation allowed under UAE data law?
Yes, handled properly. Personal data follows Federal Decree-Law 45 of 2021 (the PDPL), or DIFC or ADGM rules where they apply. Your records stay in your systems, each agent sees only what its role needs, and the model provider, region and retention are named in writing before you sign.
Can we start smaller?
Not for operations work: three workflows in AI Business Operations is our smallest build. If marketing comes first, the AI Marketing Agent is AED 7,500 plus VAT (AED 7,875 including VAT), and if you upgrade within 60 days of booking we credit 100% of the programme price you paid, excluding VAT and additions.
Who keeps it running after handover?
One named operator on your side. Up to eight people spend the private training day on their own tasks, from approving a draft to handling an exception, and each ends it completing a real task alone. For a wider programme, see corporate training in Dubai and the UAE from London International, our training partner; our AI training page shows how training fits each package.
What happens when one of our systems changes?
Small updates are what care plans cover. Replacement integrations and major provider migrations are quoted separately. Without care the accepted system keeps running, but nobody is watching for changes on your behalf, so name who will.
Which company is best for automation in Dubai?
There is no single best workflow automation company, because firms do different jobs. ChatGPT's answer on 5 November 2026 sorted them by need: enterprise-wide programmes, AI agents and custom workflows, sales and CRM, finance and documents, and large RPA. Decide which one you need, then ask each firm for the six items above.
Will it work with our ERP?
Usually, by one of two routes: a usable connector, validated before booking, or a scheduled export the agents read. Complex ERP work is quoted separately, so ask for that line in your proposal.
